Case History: Chief State Solicitor's Office
SYSTEM: VISIONTIME
NO. OF EMPLOYEES: 200
Description
The Chief State Solicitors Office (CSSO) has been in existence since 1922. The principal functions of the Attorney General are to advise the Government in matters of law and legal opinion and to provide the State with both drafting and litigation services.
The Chief State Solicitors Office provides these litigation services together with a wide range of legal services. In effect the functions of the CSSO are to act as Solicitors to the State.
When the Office wanted to introduce Flexible Working Hours some years back they turned to MultiTime – as specialists in the field. Like so many of MultiTime’s customers, they have since migrated through every version VisionTime.
Staff now use a combination of their own PCs and Touch Screens to record their arrivals/departures to and from work.

Overtime:
As the possiblity exists for overtime and flextime to overlap say between 1600 and 17.30, the Touch Screen has overtime function buttons which the employee can select at the Clocking Screen. This tkae the employee off flexitime and on to overtime.
More here about Touch Screens.
Reports:
Apart from the standard reports that are avilable in VisionTime, including special reports covering the 48 hour ruling from the EU, managment also have access to VT Trend, which provides a ready analysis of how staff use time. This aspect, of how staff use time, is becoming more important - particularly in bodies that provide a service. With VT Trend reports each organisation can ensure that the employee's work:life balance is safeguarded. This is while an equal balance is struck between the employee's needs and the pressure of running a busy service.

Whos In?

"VT WHO’S IN ?” is the VisionTime presence/absence indication system in use at the CSSO- allowing staff, managers, switch board operators, to call up who is in/out, and if out. This can be called up at any P.C. and in real time. The Software will display the requested staff at the PC - with symbols showing the various states, for example – if the employee is in, out, out on business, on holidays, on half day holidays, pre-planned absence and not due in. Apart from supervisors knowing quickly who is in/out, it also is designed to assist staff in general - as anyone can query about anyone in the System. (Many organisations also now use Who's In? system to see when the employee expects to return).
“VT WHO’S IN ?” is the perfect solution to issues Voice Mail Systems. Now you can at least work out if he/she is in/out or even supposed to be in the first place. It is also good for the reception/switchboard staff. If the operator wishes to leave the screen open, it automatically updates to show the employee changing his/her status from presence to absence and vice versa.
Requesting Time Off:
If an employee needs to request time off this is done via VisionTime's electronic corrections forms at PCs .

The Employee's Request Form
The electonic form when completed is sent automatically for approval by the Supervisor.

The Supervisor will see the request in the Suprvisor's View Screen and will be reminded with an automatic email.
The best features of the flexi concept are well tested in such a busy working environment as the Office has a huge workload to contend with.
