System Description

The Government Offices for the UK are located in the regions throughout Britain.  Each region’s offices comprises of staff and services of the various department of government – making up a single and centralised department for that region.  In this way, for instance, citizens can access all services in a sort of “one stop shop” concept. 

Based in Nottingham, the Government Offices for the East Midlands (GOEM) approached Multitime Systems, looking for a fully Web/Intranet based flexitime System.  VisionTime was chosen to meet the requirements of combining many diverse working time arrangements. These arrangements had evolved across the formerly separated Government Departments – but which were now operating together as one centralised organisation.  In particular, the need was to satisfy the Work : Life Balance Policy within the merged workplace.

The Government Offices for the East Midlands wanted to replace their old clock system which used plastic swipe cards.  The focus now was on having a Web Based System, with the ability to utilise the Central Government’s network infrastructure and technology.  Thus VisionTimeWeb provides both staff and management alike with a modern & distributed software solution for time and absence recording which offered a ‘self-service’ approach to flexitime management.

Therefore, staff at GOEM can now use their own PCs for Clocking, while also entering their own updates to time & absence records.  Another feature which significantly cuts down on admin time – is whereby staff can “look up” time & absence information on-line.  So, for instance, there is no longer any need for Staff to have to continually ask the HR Section as to how many day holidays they have, such information being now readily available at their desks.  In addition, there is an increasing movement towards facilitating staff with HomeWorking or Teleworking and these staff can access the VisionTimeWeb System from home.    
 
In addition to clocking in and out over PCs, Staff also have the choice to use a Touch Screen at reception.  Accessing is by a pin no – which has eliminated the need to carry cards.

Meanwhile, Management have the immediate advantage of being able to view data at PC’s in two ways :-

a) In Real Time – where say they needed to see what is happening now
b) Historically – so that an instant record of activity for say, this week or month or over any period - could be accessed.
