WELSH COUNCIL INTRODUCES WEB ORIENTED FLEXIBLE WORKING SYSTEM 

 

Denbighshire Council in North Wales approached MultiTime needing to replace the rather outdated system which was in place for managing their flexible working hours arrangements.  We discussed with the Council how they wanted to move forward and explained how our VisionTimeWeb can modernise the flexible working environment.  

 

VisionTimeWeb  is a Web Based Time System by MultiTime which took several years to develop. The  system and it's capblities take full advantage of our 25 years experience in implementing Flexible Working Hours solutions.  VisionTimeWeb is already in use in 500 sites in the UK, Ireland and Holland including many local and central government bodies.

Due to the many and varied tasks which the Council is involved in,  the early emphasis was on ensuring that the introduction of the system would blend easily into the organisation’s working environment.  

MultiTime explained how a level of self service can be achieved, in terms of now running their flexible working scheme.  Thus with VisionTimeWeb now all updates to time and absence records became electronic, whereby Staff now input their own updates - while Supervisors sign these off  electronically.   Meanwhile, with VT Who’s In? - immediate and real time access to who is in or out is provided for switchboard staff, managers and colleagues.  Such overall automation saves considerable time for the central administrators. Staff also key in/out and look up their own records - all at PCs.   

 

Another aspect that proved to match the Council's needs, was the system's ablility to manage the many different flexible working periods which staff have opted for.   Then, with the aid of the systems reporting suite, allied to the self –it's self service nature - it is now profoundly easy to manage the overall usage of the flexi concept.

Since the introduction of the VisionTimeWeb System from Multitime, we have realised that due to the greater interaction between staff and line managers that it has taken the overall accountability down to a lower level within the organisation, therefore allowing senior managers more time to concentrate on other issues.

Staff and Management alike have access to a wide range of Time and Absence information, and it is particularly useful for Managers who need to see instantly ‘Who’s In?’ or to see staffing levels on a particular date when a member of staff has requested an Absence.     The VisionTimeWeb System provides us with a fast and easy way to select and if necessary print reports, set up new staff and make corrections etc. We find the system easy to understand and have adapted to it very well.”
