SELF SERVICE FEATURES -
INVOLVING EMPLOYEES AND SUPERVISORS IN A WORKFLOW......
VisionTime is designed to allow interactivity between the employee, the system, and the supervisor, in organisations where this is feasible.
For example, in many customer sites, employees at their own PCs or at Touch Screens can request time off such as holidays or maybe to look to have a lateness excused.
The Supervisor can then approve or deny the request - again a his/her PC or at a Touch Screen. Therefore, Senior Management now have real time access to working time activity. See diagram above.
So VisionTime optionally brings a "workflow" approach to the managment of working time. EXAMPLE:
The employee is working within a "flexi scheme", and has been sick for a "morning half day" and is informing her supervisor. The supervisor will be reminded by automatic emails about this request.
Once the supervisor signs off the request, the time account will be intact again.
If on the other hand, the the employee is working fixed hours and the time calculations are being used as a basis for payment, then he/she just needs to further specify if the correction or request is for flat rate or weekend or whatever.

Therefore on this form you will note that the employee is qualifying the correction or request by highlighting "Day", as well as "Cert Sick". This shows that the absence was for a "Daytime Cert Sick".
Of course with VisionTime some users will prefer that some or all updates should be still be handled in the "traditional" way i.e. centrally or via the Supervisor or Administrator - and indeed, there are lots of systems that operate in that way.
However, a great benefit from VisionTime is to get everyone using the system in this "workflow" concept.
In addition, many "time corrections" can now become irrelevant with "easi shift swap" facility, which can be used by the employees and supervisors. In other words, in terms of "working time administration" once the shift is swapped in the system by the employee at the time of the occurance - then there is no need to make cumbersome corrections later. A crucial aspect of the system is that much of that tiresome bureaucracy associated with working time - can be virtually eliminated.
The VisionTime system is scalable - so can suit even the smallest organisation or those that employ hundreds even thousands
VisionTime works over your own organisation's computer network, using the intranet or internet. Therefore -
· The location and numbers of staff accessing the system is irrelevant
· There is no need for local software!
VisionTime is ideal for branch networks, government depts. separated into many buildings, chains of stores, recruitment agencies, forecourts, home/remote workers and "hot deskers" too. The system is also scalable so can work for small numbers of employees just as easily as it can for moajor organisations.
Supporting Many Working Time Scenarios:
Where flexible working is not considered an option, then the system, allows users to manage time for Hourly Paid Staff including the most complex Shift arrangements. The system not only has an advanced staff scheduler - but further has an ability to break down shifts into hourly duties.
VisionTime can cater for every conceivable time rule including :
There are many other features are included in VisionTime such as:·
Also, ask about the system's Duty Manager which goes even beyond employee scheduling and rostering - by additionally allowing you to allocate people to their daily tasks. (Go to Duty Manager).
With its VisionPay Link Programme, VisionTime can be linked seamlessly to payroll systems such as Sage or payroll bureaux for example Jefferson, - while equally at ease working in tandem with HR systems such as PeopleSoft, Midland HR, ASR or Topaz HR.
Equally where a Payroll system already exists on the customer site - VisionTime can work in tandem with it. Each component of this Workforce Management System can then “stand alone” or can be combined with the customer’s own existing solutions.

QUICKLY WHO'S IN OR OUT IN AN EMERGENCY
So as the system is "ultra flexible" in terms of the working time arrangements it is possible to be highly creative with your workplace time arrangements. In one customer's workplace for example, there are 350 different working time arrangements amongst 500 employees - leaving almost everyone with their own agreement. In that site flexible working hours is operating alongside home working, job sharing, term time working and many other forms of working time arrangements. Staff turnover and absenteeism has reduced - as the employer is making it easier for employees to "juggle" those work : life commitments.
To manage how this all "hangs together" the Trend Analysis software in VisionTime provides management with the data which needed to ensure all of the arrangements work individually for the employee and collectively for the organisation.
