VisionTimeWeb can be used for getting critical "realtime" information in the event of an emergency such as calling up roll call reports. Special "realtime" Clocking Terminal readers are placed at strategic locations and are used for declaring employee entry or exit to the building -so that the real time data can be used in the event of an emergency or for emergency drill purposes. Because the system works in real time, each entry and exit action is logged immediately at the server.

The employee would, on entering the building, hold a card up against the VisionTimeWeb terminal reader - or depending on the terminal type can enter a PIN no, while repeating the same process on leaving the building. People might forger to do this on occasion, so in order to maintain safety practices and ensure the proper usage of the "emergency" readers, the system operator can run a spot check report called the "forgotten clocking" report. He/she can let the employee know - of his/her lapse in clocking. In an emergency, users are not expected to key out, so as not to cause any delays in evacuation.

A list of those present at that moment can be called up at any time from any designated local PC. In the event of an emergency, an agreed procedure is adopted as to who should instruct the printer to print out the "roll call" list. As the software runs on a server and the report can be accessed from any PC. Usually, the roll call list will show who is in only, for each section/division. The list can run in alphabetical form and by section/division. By only having a section/division to a page or pages it allows the person responsible to split up the prints more easily so that he/she can bring them to the muster point to hand to each section head. It is recommended to locate the printer remotely. This is so as to separate the location where the emergency print needs to run from the location where the staff is. Once the instruction for the emergency listing has been input by the system operator, it will run from that remote printer.

There is also a feature whereby staff names are shown on a wall mounted screen. If they are in, then the coloured box beside their name displays green - if they are out it displays red. Groups are shown in distinct colours too, for ready identification. Overall we recommend a pilot and test phase in advance of the go live date when the employees are expected to use their Time Terminal hence forth.
